The Challenge
The multinational relied entirely on Microsoft 365 for communication and collaboration, but lacked independent data protection.
Accidental deletion
With 5,000+ users across multiple countries, accidental deletions of emails, OneDrive files and SharePoint sites were frequent. The Microsoft Recycle Bin has limited retention and was not always sufficient.
Legal retention
Internal policies and industry regulations required email and document retention for a minimum of 3 years. Native M365 policies did not reliably cover this need.
Insider threats
Departing employees deleted OneDrive data and mailboxes before leaving. Without independent backup, critical information was irreversibly lost.
Data sovereignty
Although M365 operates in European regions, the company needed to ensure that backups resided specifically in Spain to comply with internal data governance requirements.
The Solution
We deployed Veeam Backup for Microsoft 365 covering all suite services across the multinational's 4 tenants.
The project started with an inventory of the multinational's Microsoft 365 tenants: 4 tenants (one per country), over 5,000 Exchange mailboxes, thousands of OneDrive accounts, dozens of SharePoint sites and intensive Teams usage for internal and client collaboration.
Veeam Backup for Microsoft 365 was configured with connections via Enterprise applications registered in each tenant, using read-only OAuth 2.0 permissions. Backups are stored in our independent repository at Data4 Madrid, with AES-256 encryption at rest and in transit, and each tenant has its own isolated repository.
The retention policy was set to 3 years with daily incremental backups. Granular restore was enabled so that IT administrators in each country can recover individual items (an email, a file, a Teams chat) without depending on EasyDataHost, reducing incident resolution time.
